PTC Conference Scheduler Privacy Policy
How the scheduling system handles conference and authorized service information.

Purpose
The PTC Conference Scheduler is used to schedule and manage parent-teacher conference appointments and related communications.
Information provided through the application
Depending on the conference workflow, the application may process:
- Student first and last name
- Parent or guardian name
- Parent or guardian email address
- Parent or guardian phone number
- Conference teacher
- Appointment date and time
- Optional appointment-related notes
How information is used
Information submitted through the scheduling system is used for legitimate parent-teacher conference and school-office purposes, including:
- Scheduling appointments
- Managing appointments
- Sending appointment confirmations and reminders
- Processing rescheduling and cancellations
- Supporting conference administration
The information is not used for advertising or marketing through this application.
Google account access
When Google-authorized email delivery is enabled, the application may use authorization for the dedicated school or district notification account only for functionality necessary to send conference-related email notifications.
The application does not use this authorization to read, search, or delete the notification account's inbox. Google authorization data is not used for advertising or marketing and is not sold.
Google authorization for email delivery is not necessarily active at all times. This notice describes how the application will use that authorization when the feature is enabled.
Data storage and security
Reasonable administrative and technical measures are used to protect scheduling information and authentication credentials. Access to staff functions is restricted by application authorization, and appointment management links are designed to authorize access to the associated appointment.
Third-party services
The application may use service providers necessary to operate conference scheduling, authentication, calendar synchronization, security verification, hosting, and transactional communications. These services are used to support the application's school and conference operations.
Google API data
When Google services are authorized, Google-authorized data is used only for the disclosed conference-related functionality. The application does not sell Google-authorized data or use it for advertising. Google-authorized data is not used for purposes unrelated to the application's scheduling and notification functions.
Google API Services are governed by the Google API Services User Data Policy and applicable Google APIs Terms of Service.
Data sharing
Scheduling information may be shared with authorized school staff and service providers as needed to operate parent-teacher conferences and deliver related communications. It is not sold for advertising purposes.
Data retention
Information may be retained as necessary for conference administration, appointment management, operational requirements, and preservation of appropriate scheduling history.
